Several comments come to mind.

1. Conferences on weekends are actually cheaper, especially in business cities.
Hotels will usually cut deals because their weekend bookings are slow.

2. If you can guarantee a minimum number of rooms, hotel convention and
catering frequently reduce the price of the meeting rooms. Sometimes they will
comp the meeting rooms. The guarantee is tricky because if you don't meet it,
you are liable for the cost anyway. Since this is a first event, most hotels
will require funds in advance. This is why corporate sponsors are very
necessary.

3. Typically more than two rooms are necessary for breakout sessions.

Finally, there is little utility in speaking to any hotel staff prior to sorting
out your conference agenda as they will base their quotations on this
information.
