Obviously, because you using processes, you are bound to fail and the

Naming standards based on std document types in use help organise this mess
enormously. Additionally, everything should be project based, and attempt to
use single-sourcing wherever possible to amalgamate documents sets.

You should also investigate keywording your docs as you can search on those
as well.
