Good, Fast, Cheap: Translation Memory Systems Offer the Potential for All Three

by Deborah S. Ray and Eric J. Ray

Boss: Beginning in three months, we'll be making our products available to markets in Europe and Asia. We'll need all Getting Started Guides, Tutorials, User Documentation, Advanced System Reference Manuals, Online Help, and marketing materials translated into German, French, Spanish, Italian, and Japanese. I need to see a translation plan by Friday morning.

You: Consider it done!

For technical communicators exploring translation services, a relatively new technology can help provide consistency among translated documents, make the translation process more efficient, and make translation projects cost effective. Translation memory systems assist human translators by following along as a document is translated, creating a database of translated material and terminology, and allowing translators to access previously translated material easily. Using this technology, translators can translate, save, and reuse material, making the resulting translations highly consistent and the overall process more efficient and cost effective than working without this technology.

Not all Customers Want PDF files

For the last 7 years, I never had to provide a hard-copy of or pdf file of a user guide. I created online help, flash demos, quick reference cards. Now, with a new employer, they want hardcopies for every user (all 500!), online help, and online pdf files. I almost feel like dragging out the hammer and chisel!

PDFs replaced by HTML in many cases

I too am interested in which formats users prefer. My guess is that it depends on the type of user, their physical environment (not their technical environment), and what they are trying to achieve.

System admnistrators for example need to, on the one hand, sit down and plan software deployments (for which PDFs are perhaps better suited) and, on the other, firefight urgent system problems (online, Web-based HTML?).

If sys admins are similar to your type of user, check out my company's customer responses to this question on our publications blog:

Microsoft Word Editioning Template

by Steve Hudson
This template (with documentation) enables conditional text tagging for Microsoft's Word 2000 or later, or a way to provide multiple editions of a document from a single source. This template has been quite popular with TECHWR-L readers over the last few years. (Don't forget to look at the other articles and information from Steve Hudson for more assistance with Word.)

Seen on the Web: "OpenOffice: More Pros Than Cons"

The brief review of OpenOffice from Tech News World at is remarkably positive...and makes Open Office sound like it's getting some traction in the community as a whole. Are any technical writers or tech writing departments heading that way?

We know Bruce Byfield is because of his review, but is anyone else?
