"800 to 1,000 vendor invoices come in each month and need to be scanned
and sent out for approval to the various property managers. I want to do
that with pdfs but don't quite know how to allow the property managers
to put their electronic stamp on the pdf docs. Do you know:

====================

Dick:

We scan documents; invoices, contracts, etc., and place them in
SharePoint.

However, the scanning/filing part isn't the hard part...the "sent out
for approval" part is.

This involves two advanced issues; workflow for routing intelligently,
and electronic signatures.

I'd address the first part by having the property managers pull their
files from a holding bin by searching on a specific metadata rather than
pushing the documents to them based on designed rules.

When a document is scanned, you do a certain amount of indexing and one
of the index metadatas is ""Property" (not Property Manager...my
girlfriend IS a property manager and there is churn).

The manager logs on, does a search for "Evergreen Place" and they get a
queue of documents. They click on the first one in the stack and do
whatever it is that they need to do.

The signature is something else. Different systems handle this
differently, but it is usually a feature.

BTW...when we scan, we save them as TIFs.

I'd be happy to talk to you further on this if you want, but not by
keyboard. If you want, I can send you my phone number and we can
talk...I sold document management systems for 18 years before getting
into writing.
